Present: Laura Robinson, Marlys Rudeen, Beth Bowden, Glenda Pearson, Jessica Albano, Joan DaShiell, Christine Guenther, Lisa Hummel, Kelly Barrall Joan's Notes: For the WSL group, I posted this to the SharePoint site under a new section called Microfilm Duplication. You will need to set up an alert since that is a new discussion group.

Reels for NDNP will be identified on the microfilm duplication order form as needing duplication & metadata collection for the WSL NDNP project #08-150. Reels will be accompanied by a list indicating the reel id and the assigned bar code number. The bar code stickers will accompany the shipment so they can be affixed to the box of the duplicated reel. These reels will be invoiced under the WSL NDNP account for these steps.

If U of Washington also wants a duplicated print master they will note that on the microfilm duplication order form and a print master duplicate will be generated and go into storage. These reels will be invoiced directly to U of Washington on their duplication account.

The archival reels will ship back to U of Washington

The NDNP duplicates will be used for scanning and stay in our material storage area until the reels are approved by LC. Once we have a group of reels approved by LC we will make a shipment of 2nd generations duplicates to WSL

We discussed contract finalization, communication procedures, project partners, ownership and location of film, workflow, scanning process and target testing, current status of evaluation, issues from sample reel, metadata responsibilities, delivery procedures, etc.

IssuePresentComment is going to be added to spreadsheets and scripts. We are still working from 2008 specs until new DVV. Sharepoint site will be up in a few weeks. WSL will keep OCLC aware of NEH, LC, NDNP updates. Next meeting being planned with UW and the film duplication folks at OCLC.

All evaluations were scored and compared. Note: Jessica presented Glenda's evaluation for her. Follow-up questions and references will be pursued for the top two candidates. Decision likely to be made early next week.

Sept. 12, 2008

  • Agenda: NDNP Meeting - Discuss titles and project

1. Purchasing It’s time to start ordering the first titles for the project. UW needs to fix targets on Seattle Republican. First titles – UW – Will start by purchasing Seattle Republican & Cayton’s titles, Seattle star, Labor titles, Labor Journal (Everett). They will also look at Bremerton and New Citizen titles for filming, if funds can be located. WSL - Will start by purchasing the Colville, Pullman and Colfax papers, and the Northwest Worker. Need to order 2nd generation, silver halide neg. NDNP requires 10 density readings of master and neg. copy, and resolution reading if the film has a resolution target.

2. LC Participants Meeting – Laura and Marlys reported on the meeting, held at LC in August. They provided Glenda with the information on composing the title essays, and shared contact information for NEH and LC NDNP staff.

3. Communications UW/WSL – on title selection, film examination and metadata collection. Laura will be spending part of her time at the UW and part in Olympia. Vendor –When the scanning vendor is selected, Laura will be the main contact. Vendor, film – UW and WSL will be individually responsible for purchasing the film for which they hold the negs. At UW, Jessica will be in charge of purchasing from OCLC . At WSL, Laura will handle the ordering from Proquest. Work Group – The NDNP wiki is located at MainPage In the interests of keeping a coherent record of the project, we will continue to send information and updates out via listserv, but will also add the updates, discussions, etc. to the wiki. NEH/LOC - Laura and Marlys will be the contacts with the granting agencies. Library Community – We are hoping to set up a blog at WSL to issue reports and will use the WSLUpdates as well. Any other ideas for disseminating news will be appreciated.

4. RFP – Out on Monday, Sept. 15. We will put a copy on the wiki.

5. Contract UW – Send to Glenda. Hope to have a draft within in a week. Jessica reported on comments from Charles Chamberlain: Needs a header, language indicating that any modification must be in writing and approved by both. (Mr. Chamerlain was looking at a rough draft.) Instead of saying UW staff, use Microforms and Newspaper Unit (MicNews) Hiring process: Laura will interview students, email prospects. Student staff will start film examination and collation with Cayton’s Weekly and other positives.

6. Essays – Glenda is thrilled at the prospect of writing the individual title essays, and will do the Seattle Republican first.

7. Wiki – use for notes, documents, reports, etc. Gang of five will have edit permission.

8. Google Newspaper Project – No one is quite sure how this will impact other newspaper digitization projects, including NDNP.
